REGULATIONS FOR PARTICIPATION IN THE FAIR - EXPOSITION FITPERÚ "INTERNATIONAL TOURISM FAIR IN PERÚ" 1.- ORGANIZATION: CARETUR, La Libertad Regional Tourism Chamber, represented by D. Roberto Angulo Alvarez, President. HORITZÓ GRUP, represented by D. Jaime Rull, Foreman and Executive President. 2.- PLACE: "El Golf" Gran Hotel, Trujillo, La Libertad. 3.- DATES: From November 3 to 6, 2007. 4.- SCHEDULES: Exhibitors: From 9:30 to 20:30 hours. Professional Visitors: From 10:00 to 20:00 hours (day 5) From 10:00 to 20:00 hours (day 6) Visitors in general: From 10:00 to 20:00 hours (day 3) From 10:00 to 20.00 hours (day 4) 5.- REGISTRATION: In order to register, you must fill out the Participation Application, indicating the space in square meters that you require, as well as a deposit that includes a minimum registration fee and 30% of the value of the contracted space. The fair grounds will consist of diverse areas dedicated to offering Tourism and Lodging Products and Services, as well as anything that, according to the organizers, strengthens the event and promotes Perú at the national and international level. Space and stand allocation will take place August 15, 2007. 6.- ASSEMBLY AND DISSASEMBLY: Assembly: Days: November 1st and 2nd, 2007 Disassembly: Day: November 7, 2007 Only Exhibitors and participants who show receipts that prove that the total payment has been made and who have their respective Assembly credentials will be allowed to set up or install their stands. Document: Caretur and/or Horitzó Grup Assembly Authorization Removal of these materials will only be permitted if accompanied by : Document: Caretur and/or Horitzó Grup Assembly Authorization 7.- PARTICIPATION RATES: The Organizer establishes these, which are calculated by square meter and during all of the fair days. 8.- INSURANCE: The Exhibitor and/or participants should obtain an insurance policy that covers all of the risks related to the event. The FITPERÚ-2007 organization, Committee, CARETUR AND/OR HORITZÓ GRUP, and other related enterprises are not responsible for damages, losses, theft, etc., that may happen to the exhibitor, participants or their property in any moment during assembly, fair and disassembly. 9.- ADMISSION AND SPACE ALLOCATION: The applicant expressly recognizes the knowledge of the Admission of Exhibitors and Space Adjudication norms that govern this event. They are listed below. Exhibitors Admission: The last day for reception of Space Allocation applications will be July 31, 2007. This date could be extended if unoccupied space remains. CARETUR and/or CARETUR AND/OR HORITZÓ GRUP reserves the right to make decisions in regards to the admission of Exhibitors, as well in the acceptance of presented services and products. When Offerers hire a Representative to make their presentation in the event, a Certificate signed by the Offerers should be attached to the registration, authorizing their participation as a representative in the Event. This will avoid presented services and/or products duplicity. Before or during the event, the organizers have the right to demand immediate withdrawal of the presented services and/or products for those who have not, or are not willing to present these justifying documents. Admission as a Exhibitor is not definite until it is confirmed in writing. Las entregas a cuenta no son vinculantes, nor will they grant rights until the coresponding contract has been perfected and the respective bill and total payment have been made. Admission of the Exhibitor and their stipulated services will be definite when CARETUR AND/OR HORITZÓ GRUP has received the entire stipulated value, accepted it and confirmed it in writing. CARETUR AND/OR HORITZÓ GRUP can void the contract, without prior notice, if and only if the Exhibitor takes part, or can take part in, disloyal competition or any other infraction of the established right. In this case, the Exhibitor will not be able to demand and penalty rights. Total or partial relinquishment of stands is strictly prohibited. The stands cannot be sub-leased. Each brand or Exhibitor should be individually registered and should also possess the respective "REGISTRATION " through the respective payment. Each Exhibitor commits to attending to the stand during the entire event schedule and to exhibiting their services and/or products, until 8:00 P.M. on November 6, when the event closes. They may not close, remove or disassemble beforehand. Acts of God : In the unforeseen circumstance that an Act of God occurs, the organization can, in any moment, suspend the Event. If another date is not chosen, the admitted Exhibitors will not have the right to any type of penalty, but rather reimbursements through payments. Space Allocation: Once the Exhibitor is admitted, space allocation will depend on the discretion of CARETUR AND/OR HORITZÓ GRUP. However, sectos, application date, square meters and harmony between spaces, contracted dimensions, as well as any other circumstance that will improve the Event will be considered. Once the space is granted, the Exhibitor will be sent an Acceptance Bulletin, in which the allocated space and its location will be described. Location Modification: The Organizers reserve the right, due to particular needs or an Act of God, to change the placement and dimensions of the designated space, change or close entrances or exits to the Fair Grounds, as well as carry out projects and modifications on the Grounds, without having to pay any type of indemnity to the affected Exhibitor, except in those disposed in the following paragraph regarding space reduction. The organizers will return proportion of the paid value if differences occur due to requested space reduction. This proportion will be calculated according to the space reduction, excluding any other grievance from the Exhibitor. If the Presenting Firm were to ask for a space reduction, they yield the right to the space that is reduced, giving the Organization the right to assign a new Exhibitor to that space. 10.CONDITIONS AND PAYMENT TERMS When the Admission Application is received, a universal first payment of $100 or ist amount in soles + tax will be charged for admission fee, in addition to 30% of the contracted value, for which the coresponding bill will be emitted. The contract will stipulate how following payments should be made. Before the allocation, which is programmed for August 15, the presenting Firm must pay the remaining balance or make payments according to the financing scheme, until September 30, 2007 at the latest. After July 31, all space reservations must be paid in cash and represent 100% of the value of the contracted space. Immediate space allocation will be made upon payment. If for any reason, a Exhibitor must cancel all or some of their participation, and who make this known before July 31, 2007, the paid amount will be returned, except for the registration fee and tax which is always billed. The paid amount will not be returned to Exhibitors who, for any reason, must cancel all or some of their participation but make this known after July 31, 2007. Payment by check or transfer will be considered definite only after having been accredited by the Bank in the organization's account. If the Exhibitors are not present with their the Exposition-stand and services and products on Inauguration day, the space will become available to the Organizer, and the Presenting firm will not have any right to claim it. All of the services and/or products, materials and others, without exception, will enter the fair grounds and the assigned stand before 8:00 P.M. on November 2. For stand setup or merchandise to be exhibited, all participation fees and the complete value of the contracted services must be paid. Once this condition is fulfilled, Setup Authorization will be given to the Exhibitor. All payments must be made to CARETUR AND/OR HORITZÓ GRUP, using the following means: - Nominal Certified Check, or - Bank Transfer, or - Credit Cards. The following accounts are available: BANCO DE CRÉDITO DEL PERÚ Address: Jr. Gamarra Nº 562 - Trujillo Swift: BCPL-PEPL Beneficiario: Cámara Regional de Turismo d La Libertad SOLES BANK ACCOUNT: Nº 570-1599975-0-36 DOLLARS BANK ACCOUNT: Nº 570-1599227-1-9 11.- OTHER SERVICES : Construction and stand rental expenses, including panels, basic equipment, carpeting, signage and lighting may be included, when they are stipulated in the contract. Catalogue Publicity, telephone installation, equipment, water connections, compressed air, as well as respective consumption expenses and any other service will be billed separately to the Exhibitor. The relationship of these services offered by CARETUR, HORITZO GRUP and/or other Enterprises, as well as their rates, can be found in the Services Folder. 12.-CLEANING : The organization will take care of cleaning the stands, avenues, streets and common spaces. The organization's own or hired cleaning staff will do this. 13.- TECHNICAL SERVICES : Telephone, water, electricity and compressed air installation and connection expenses, as well as their consumption and all other services, will be billed separately. All installations that connect to the general netwok should be carried out by CARETUR AND/OR HORITZÓ GRUP services. Any installations that take place inside the stands can be done by Enterprises hired by the Exhibitor, upon receiving the respective authorization. The organizers do not assume any responsibility for damages that can cause overload nor for possible fluctuations in the electric energy current. 14.- SECURITY The Exhibitors are in charge of watching over and cleaning their stands during public visiting hours, as well as during set-up and takedown. The Fair Organization will hire a watchman and nocturnal and diurnal security service, outside and inside the grounds, but does not claim responsibility for any damages, theft, mutiny, or any other type of loss or mishap to the facilities or merchandise. The Event Organization will not respond to loss or damage to samples, exhibition material before, during, and after the Event. 15.- DISTURBANCE AND DISLOYAL COMPETITION The Exhibitors should maintain proper decorum, avoiding any annoyance or interference with other Exhibitors' or professional visitos' work . If a Exhibitor provokes disturbances of any kind, the Event reserves the right to close down the stand and, if it is the case, evacuate him or her without any indemnity. Stand evacuation expenses will be charged to the Exhibitor. The Event can void the contract without prior notice, if it can show that the Exhibitor takes part in, or could take part in, disloyal competition or any other infraction of the established right. In this case, the Exhibitor will not be able to claim indemnity rights. 16.- PHOTOGRAPHS: None of the services and/or exposed products can be photographed without the Exhibitor's authorization. CARETUR AND/OR HORITZÓ GRUP will have the right to photograph, draw or film the facilities and stands, as well as the services or exposed articles there, and to use these reproductions in their publications and in the Press. The Exhibitor has the right to photograph their own stand and their own services and/or products during Event hours. If they wish for this to be done by their own photographer, they should solicit the respective authorization of the organizers. A Photography and Video service available for Exhibitors who explicitly request it. This service can be used through prior payment of the coresponding cost. (See Service Folder) 17.- ACCESS TO OTHER EXHIBITORS STANDS Access to other Exhibitors' stands is prohibited outside of the visitos' schedules, unless the person in charge of the stand authorizes it. 18.- TELEPHONES: The organizers authorize the Exhibitor to solicit telephone service of any type from if and when they assume the installation, service and consumption costs. (See Service Folder) 19.- EXHIBITOR AND WORK PASSES: The Exhibitors will validly receive these following passes for the Event: Exhibitor Passes: For Directos and Employees of the Presenting Enterprise to use, valid from the first setup day until the last disassembly day. Setup Passes: For personnel who are in charge of stand suitability, as well as its disassembly. These will be given to the Exhibitor who will use them under their own responsibility. These passes will be valid only during the setup and takedown days, and are not valid during the Event days. The passes are nominative, personal and non-transferable. Therefore, each Exhibitor should detail the names of those who will attend their stand on a form designed for this purpose, which will be given to the Organizer before September 30, 2007. The passes do not authorize their bearers to stay on grounds while closed. At this time, the fair grounds will be totally unoccupied. Exhibitors and employees who bear this coresponding pass have access to the Event a half-hour before visitos can enter and must remain on grounds a half-hour after closing. Entrance of material and/or products is prohibited during visito's hours. Any entrance must be made through the cargo and materials gate. 20.- INVITATIONS Exhibitors could ask the Organization for the following types of Invitations: a.- Courtesy Invitations: These will be valid for one entrance and will be given to the Exhibitor as convenient. b.- Passes for Professionals and Special Invitees: These will be valid for all of Event days and during the hours in which it is open. These passes will be nominative and non-transferable. 21.- MERCHANDISE TRANSPORTATION Each Exhibitor will need to fulfill the necessary requirements for consigning graphic material, and other merchandise and/or products to their destination. The Organizers are not responsible for any difficulties that might arise due to these formalities. 22.- CATALOGUE CARETUR and Horitzó Grup has the write to compose, publish and advertise the Official Event Catalogue. Information necessary for composing the Catalogue will be provided by the Exhibitors under their own responsibility and, in all cases, handed in before the last date (October 5, 2007), indicated on the printout used for this purpose. The Organization is not responsible, in any case, for omissions, or errors in reproduction or composition, or any other kind. The Organization can reject insertion or modification of the text, if it is not adjusted to the general measures, or that can compromise other Event Exhibitors. 23.- PUBLICITY ON THE EXPOSITION GROUNDS Printouts and other advertising means can ONLY be distributed in each Exhibitors' stand area, "NOT" in the coridors "NOR" on the Fair Grounds property or the Crystal Palace Facilities. All publicity will be about concrete professional themes. Publicity of an ideological or political character that attempts to disrupt the valid legality or anything of that nature is strictly prohibited. The Event Organizers are authorized to prohibit the distribution of publicity that causes grievances and retain this material until the end of the Event. Visual, mobile and acoustic publicity means are only authorized as long as they do not bother their neighboring stand. If this is not the case, the Organizers will remove them. 24.- GENERAL PARTICIPATION CONDITIONS Upon submitting the Admission Application, the Exhibitor automatically accepts these Participation Norms, which commits them to respect and comply with the Technical Directions and Safety Measures. 25.- TECHNICAL DIRECTIONS AND SAFETY MEASURES General Indications: Infrastructure Hole-making, screwing and nailing in the walls, ceilings, floors or pillars on the grounds is not permitted. Neither the walls, pillars, nor the grounds facilities may be decorated or display objects. Hanging publicity from the Pavilion ceilings is not permitted. Making drains, anchors, or other modifications to the construction, inside or outside the grounds, nailing, using percussion tools, painting using pulverizing guns, as well as laying mortar without the interposition of an iron-steel iron is prohibited. The grounds floor is in perfect condition, and covering it with paint or glue is prohibited. Instead, you must use a platform or cover it with a mat whose weight keeps it in its place due, or use adhesive bands that the Exhibitor will remove at the end of the Event. If one of the prohibited actions is absolutely necessary, you must solicit authorization a minimum of two weeks before the Event, documenting the need and, in that case, accompanying projects and blueprints. If permission is granted, the Exhibitor is obligated to leave the area in the same conditions that they received it in. Any possible damage caused by the Exhibitors or their delegates, employees or contractos, to the FITPERÚ-2007 grounds, to walls, facilities, etc., will be repaired and billed once exclusively to the Exhibitor. 26.- GENERAL SAFETY MEASURES The construction of the stands, the installation of exposition materials and publicity supports should be stable enough for public safety. Platforms that are open to the public, whose lowest level is situated higher than a meter, should be surrounded by a railing at least 90 cm high. Easily flammable materials should not be used for stand construction and installation. Using guns as well as cellulous lacquer inside the Grounds is prohibited. This prohibition extends to flammable liquids and the use of aerosols with Butane gas. Any work that can affect the environment, like welding, is prohibited. All of the indicated work should be carried out outside and should enter the grounds only when they are finished. Moto combustion vehicles that are exposed on the fair grounds shouldn't have any gas in their tanks. The use of gas balloons is not permitted inside the fair grounds. Unless smoking is prohibited in the stand, a sufficient number of ashtrays or cans should be available, which will be regularly emptied according to the necessary safety measures. Trash or waste cans inside the stand should not be made of flammable material. Trash cans and cubes should be emptied each afternoon, at closing time, in the bins that are designated for the Event. Stoing any type of container or visible packaging in the stand is not authorized. The coners or edges of crystal doors should be polished and protected in such a way that there is no danger of being cut. Glass doors or any construction made completely of glass should be labeled at eye-height. Organic glass edges should be appropriately protected in order to avoid fire. Demonstrations that produce sound should be restricted as most as possible, paying attention to other Exhibitors as well as Visitos. No evacuation routes (emergency exits), shining signage lights, extinguishers, hydrants, indicatos, nor any protective equipment should ever be blocked. Flammable products cannot be stoed in offices, stoes or decorative pillar partitions. In the same way, connection boxes (electricity, telephone, TV, gas, water, compressed air, etc.) and access to equipment and ground dependencies cannot be locked. Civil responsibility issued from incompliance with any of the previous measures will be each Exhibitor's exclusive responsibility. 27.- STAND CONSTRUCTION: The organizers will deliver the stands pre-decorated, which entails dividing panels made of white-colored frieze standard wood, basic equipment, carpeted floors, signage with the Presenting Enterprises Name and basic lighting. Decorating the stands is the exclusive responsibility of the Exhibitor, and can be done by the Exhibitor him/herself or by someone hired to decorate. Exhibitors who establish agreements with decoratos for stand setup, decoration and disassembly, should inform them that once the event closes, the stands and facilities must be urgently returned and rid of leftovers and debris before 3:00 P.M. November 7, 2007. If the Presenting Enterprise does not comply, the Organizers and/or Fair Grounds Owners will proceed to remove leftovers and debris through their own cleaning service. When finished, the Exhibitor will be charged for cleanup expenses. Construction Height The normalized height of the stands is 2.40 meters, within the grounds limitations, whose ceiling height is 3 meters. This allows exterior towers to be constructed 4 meters high with a 1-meter minimum base. Floor or attic construction is not authorized. If these norms are not followed, a sketch will be required for their approval. Ceiling Installation The Exhibitors can cover their stand, making sure that they respect the technical indications to prevent fires. Construction on adjoining walls with coridors. If there is construction, they should be decorated with photo collages and other means that give pleasant continuity to the coridors. 28.- ELECTRIC INSTALLATION The Organizer will provide general lighting for the exterior and interior Fair Ground areas. This includes what is in each area exhibition stand, which is basic, and that which is contemplated in the "KEY IN HAND STAND" services. Exhibitors may not manipulate the electric installations in the exhibition areas. If this were to happen, a fee for this as well as the cost of the damage or harm caused by this impulse would be charged. The Exhibitor cannot make electric installations within the stand by him or herself. If this were to happen, he or she will be responsible for damage or harm caused to others for detected electrical problems in that stand. If the Exhibitor requests any outlet or special electric installation, the Organization will charge the Exhibitor a special value that will be proposed prior to the installation (see Service Folder). The electricity will be cut off at the respective stand if the Exhibitor does not comply with these measures. The Organization does not assume responsibility for any defects that black outs of the public electric service, voltage alteration or any other unforeseen events of a similar nature might cause to the Exhibitors' equipment. (We suggest using surge protectos). 29.- EQUIPMENT AND DECORATIVE ELEMENTS: The Organizers offer diverse equipment and complementary decorative elements rental service (See Service Folder). 30.- PARALLEL EVENTS During the Event, there will be other events that take place in order to create the best business atmosphere and entertain those who are involved, including, among others: Technical Days, Seminars, Conferences, Business Meetings and Artistic Presentations.
